FlexiProject

What sets FlexiProject apart

Teams comparing FlexiProject and ClickUp usually ask about five modules. Project budgets, a risk register, a project charter, project products and an approved baseline.

Budget plan and actuals next to the schedule

Planned costs and revenues sit against actuals in one view, tied to the schedule. Project totals roll up to the portfolio. You keep no separate spreadsheet for project finances. You catch overruns while there is still time to react.

Project risks assessed on one scale

The risk register is part of every project, not a separate list template. For each risk you record the threat level, the owner and mitigation actions. Exposure rolls up to the portfolio, so the board sees it without opening each project. You track a threat from the moment it is raised until it is closed.

A structured charter at the start of every project

Goal, scope, stakeholders, milestones and the business case go into a configurable project charter. With templates, every project starts the same way. The sponsor gets a clear picture to approve before work begins. From then on the charter is the reference for planning and governance.

Project outcomes instead of task percentages

State what the project has to deliver and link each product to the schedule. Scope is expressed as finished outcomes. Everyone sees what has to be produced and where it stands. The sponsor accepts products instead of reading task percentages.

An approved baseline with change control

You save the approved plan as a baseline and compare it with actuals for the life of the project. Every change to dates or budget goes through a request. The system keeps the version history. When the project closes, you see how many times it moved and why.

Run the whole project portfolio

Project scoring, approval paths, portfolio dashboards and AI-assisted scheduling sit in one system. Project managers set priorities and see where the plan starts to drift. Leadership keeps one live view of every project.

FlexiProject vs ClickUp: frequently asked questions

FlexiProject vs ClickUp

What is the main difference between FlexiProject and ClickUp?

ClickUp organizes work for many kinds of team: tasks, documents and everyday collaboration, with very broad configuration. FlexiProject is project management software built around the project lifecycle. Alongside tasks you get a project charter, plan approval, costs with revenues, risks and portfolios. The difference shows most clearly when a plan has to change. In ClickUp you enter the new dates. In FlexiProject the change goes through approval, and the history records who approved it and what it did to cost and scope.

Which is better for managing a project portfolio?

In ClickUp you roll status up through dashboards and a portfolio view, which gives a flexible picture from above. In FlexiProject you run the portfolio as a process. Ideas are scored before they enter. Projects group into programs, baselines and budgets pass approval, and recurring reviews keep the set comparable month after month. All of it is part of strategic project management software, ready without assembling widgets.

Is FlexiProject harder to use than ClickUp?

ClickUp is flexible, but configuring it well can take real effort. FlexiProject is more structured because the project method is built in. Day-to-day contributors work in views they recognize: a Kanban board software, a Gantt chart and their own task list. Charters, scoring, budget versions and approval paths sit with project managers and the PMO, so most users never configure them.

Can we run FlexiProject alongside ClickUp?

Yes. In the first months it is a common arrangement. The team stays in ClickUp for everyday work, docs and chat. Plans, decisions and project notifications move to FlexiProject, into the project communication module. Over time most organizations that need consistent portfolio reporting consolidate. Keeping the plan in one tool and the conversation in another is a common source of reporting gaps.

Schedule and planning

Does ClickUp support baselines?

Yes. ClickUp rolled out schedule baselines in 2026 and shows them in Gantt view. There is no deviation field that updates itself, no approval step before the baseline becomes binding, and no budget baseline alongside it. In FlexiProject an approved schedule becomes a baseline and you see the live plan against it. Slippage is visible early. The budget has its own baseline and deviation in the project plan module.

How does planning in FlexiProject differ from ClickUp?

In ClickUp you nest subtasks a limited number of levels deep, which suits everyday work. For an investment broken into phases, sub-phases, work packages and tasks it gets tight. FlexiProject sets no depth limit and counts durations in working days against a calendar you set per project. The Gantt chart tool shows the critical path and dependencies over the real work structure.

Can I see team workload directly in the plan?

Yes, without switching to a separate view. You see workload directly on the schedule. The system measures it against each person’s declared availability: full time, part time or a custom pattern. When you move a task, you immediately see who tips into overload. Resource management software also reports load by organizational structure, so a department head sees the whole unit.

Can the team work on a Kanban board?

Yes. Teams that prefer a board get the same tasks that appear on the Gantt chart, shown as cards. Contributors pick the view that suits them and the plan underneath stays one source of truth. Progress logged on the board flows into project schedule software and into the reports. No separate artifact has to be reconciled later.

Budgets, risk and governance

Does ClickUp support project budgets?

In ClickUp you track budget figures in custom fields and roll them up on dashboards. For simple cost tracking that is fine. There is no budget as a separate module: cost and revenue categories, forecast against actuals, monthly phasing and archived versions. In FlexiProject the budget is a separate module, linked to the tasks and to time tracking software, which feeds labour costs. Finance teams usually insist on that.

Does FlexiProject include a risk register?

Yes. The register is built into every project, with no extra template. Each risk carries a probability, impact, owner and response plan. Mitigation actions become scheduled tasks with dates. Exposure rolls up to the portfolio, so management sees it through project portfolio software. The register sits in the same place as the schedule and the budget.

How does approval of the plan and budget work?

In FlexiProject the schedule baseline and the budget pass through a defined approval path before they become binding. Any later change requires a documented change request with version history. Most work tools, ClickUp included, can route an approval for a task or a request. Approval workflow software covers the plan itself, so six months on you can answer why a milestone moved and who signed off on it.

Is FlexiProject suitable for regulated organisations?

Yes. Audited environments ask for on-premises deployment, approval paths on plans and version history on baselines and budgets. They also ask for a risk register that rolls up to portfolio level. Project review software pulls data from the schedule, the budget and the risk register into one consistent format. The evidence a regulator or auditor expects is produced as a by-product of running the projects.

Portfolio, PMO and reporting

Does FlexiProject support project programs?

Yes. Above the portfolio sits program management software: a shared schedule for several projects, with cross-project dependencies and date recalculation. ClickUp can link tasks across spaces, so cross-project relationships exist there. The program itself is not a distinct object between the portfolio and the project. That is the level where you manage delays one project passes on to another.

How does FlexiProject prioritise projects?

New ideas are submitted on a form and evaluated against a scoring model your organization defines, with your own criteria, weights and thresholds. Strategic fit, payback, risk and capacity can each carry different importance. The resulting ranking sits next to the projects already running. Project scoring software makes prioritization repeatable and comparable.

Does FlexiProject define the products a project delivers?

Yes. Beyond tasks, you record in FlexiProject what the project has to hand over: documentation, a prototype or new infrastructure. Each item carries acceptance criteria, an owner and a delivery date linked to the schedule. You link the project, with its products, to a goal in the strategy management software. Leadership then sees which goals are backed by real deliverables.

What does periodic reporting for the board look like?

The PMO sets a date and scope, and project managers are notified what to complete. Plan, budget, risk register and milestone data load automatically from each project. Every project is described in the same template, so the board compares like with like. The figures feed reporting software. Nobody assembles them by hand each quarter.

Migration and rollout

How do we move from ClickUp to FlexiProject?

Usually in two steps. Spaces and lists export from ClickUp to Excel and import into FlexiProject with column mapping onto task attributes. Task data and owners survive the move. Schedules held in MS Project come across directly from .mpp files with dependencies intact. From then on, each project starts from a ready template in the project template software, with schedule, budget, risks and products.

Will the team need a lot of training?

Project contributors need very little: they update tasks, log progress and comment as in any modern web application. Administrators and the PMO have more to learn: charters, approval paths and scoring. You keep company standards and good practice in the built-in knowledge base software, and the team reads them without leaving the system.

Will we lose the collaboration we had in ClickUp?

No. Comments, mentions, attachments and notifications sit on the tasks and documents. Day-to-day collaboration looks the way your team is used to. What changes is the structure around it: a project starts with a ready schedule, budget, risk register and product list. Chat, mail and file tools stay connected through the integration platform.

Rollout, languages and security

Does FlexiProject support multiple languages?

Yes. The interface and documentation are available in 28 languages. Teams across countries work in their own language in one shared system. Separate workspace software areas let each division or subsidiary keep its own charters, templates and user list. Head office defines the shared corporate standard. That matters most for international groups running one portfolio.

Can FlexiProject be deployed on-premises?

Yes. FlexiProject runs in the cloud or installed on your own servers. You can start in the cloud and move to on-premises later if the regulatory picture changes. ClickUp is a cloud-only service, so self-hosting is a genuine difference. It matters most in regulated industries, where data residency is written into the contract.

Does non-project work fit in the system too?

Yes. Not everything a team does is a project. Recurring and ad-hoc work that would clutter a schedule goes into operational task software. It keeps the same owners, dates and comments there. The project plan stays clean and people have one place for their day-to-day work. No second tool is needed.
