FlexiProject as a Planisware alternative: the comparison

Planisware focuses on large research, engineering and investment portfolios. FlexiProject sets that work inside PMO method: a project charter, a baseline, a budget, risks and recurring reviews, in one product. The choice comes down to a platform rolled out by consultants or a method ready on day one.

FlexiProject

FlexiProject strengths

Planisware reaches its depth through a product picked for your domain and a configuration project behind it. FlexiProject brings the same lifecycle in one package. Charters, portfolios, budgets and reviews work on the first day.

The whole portfolio in one view

Schedule status, budget, risk and progress roll up from every project into portfolios and programs. You compare initiatives on the same criteria without exporting anything. The board reads the dashboard and the PMO drills into the project behind each number.

Start every project from a ready charter

Each project opens with a structured charter: objective, scope, stakeholders, key dates and the business case. Approved versions keep their history, so you see what changed and who accepted it. The template is there before your first configuration workshop.

Templates you set up yourself

Charters, fields, scoring models and approval paths are set point and click in the interface. A PMO lead makes the change during a meeting, without a developer and without a release cycle. A new project type goes live the same week.

Introduce standards in the company by creating project templates

Costs and revenues side by side

Every project carries planned costs and revenues, forecasts, actuals and a monthly phasing that rolls up to the portfolio. Budget lines link to the tasks that generate them. You compare plan against reality without a finance export.

Recurring reviews with a decision trail

Reviews have their own calendar, reminders and report template, and the data comes straight from the project modules. Decisions and comments stay in the archive next to the version of the plan they concerned. Nobody rebuilds a status pack by hand.

Governance in the standard package

The methodical layer is built in. Charters, approved schedule and budget baselines, a risk register that rolls up to the portfolio, project products and recurring reviews. They are part of FlexiProject from the first day and they are wired to each other.

Adapt it to how you work

You shape FlexiProject in the interface: templates, fields, scoring, budget structures and approval paths. There is no formula language to learn and no consultant in the loop. When you need something specific, such as a link to your accounting system, we build it under contract.

FlexiProject vs Planisware: frequently asked questions

FlexiProject vs Planisware

What is the main difference between FlexiProject and Planisware?

Planisware is enterprise PPM. You pick the product built for your domain and run a configuration project with consultants. FlexiProject brings the whole lifecycle in one package. Charters, baselines, budgets, risks, products, scoring and reviews work on day one. The gap shows in time to value: project management software you configure yourself starts paying off in weeks.

Is FlexiProject enough for a large project portfolio?

For portfolios of tens up to a few hundred projects, yes. Portfolios aggregate schedule status, budget, risk and progress. Programs sit above them and recurring reviews keep the whole set comparable. Above several thousand projects with multi-entity capacity planning, Planisware is the safer choice. Strategic project management software covers the range most PMOs work in.

Where is Planisware genuinely stronger than FlexiProject?

At the very top end. Its financial planning, what-if portfolio simulation and capacity management across thousands of resources go further than ours. Planisware also runs Monte Carlo simulation on schedules and costs, which we do not. FlexiProject answers the same questions through a reporting software builder, without the probabilistic modelling.

Everything in one product

Do we have to buy a separate product for each portfolio in FlexiProject?

No. One product covers the schedule, resources, budget, risks, products, portfolios, programs, strategy, scoring, reviews and approval paths. Modules are switched on and off per project, so a small initiative shows only a schedule and comments. Work that is not a project at all goes into operational task software in the same system.

How deep can a project schedule go in FlexiProject?

There is no depth limit. Phases, sub-phases, work packages and tasks nest as far as the work requires. The structure stays linked to resources and to the budget, so moving one date recalculates the rest. Project schedule software handles multi-year investment programs, not only short delivery plans.

Does FlexiProject have a critical path and a schedule baseline?

Yes. All four dependency types with fixed lead and lag times, and a critical path calculated automatically. Durations count in working days against a calendar you set per project. An approved plan is saved as a baseline and the live plan is shown against it. The Gantt chart tool shows the deviation as work progresses.

Portfolio, programs and strategy

How does program management work in each system?

A program in FlexiProject is a shared schedule of several projects with dependencies between their tasks. Shifting one milestone shows what happens to the rest, and a what-if recalculation runs before you commit to a change. A program here has no charter or budget of its own, while in Planisware it is a full object with its own finances. Program management software is part of the standard package.

How does FlexiProject prioritize projects and ideas?

Ideas arrive on a form and pass through a scoring model your organization defines, with its own criteria, weights and thresholds. Different project types can use different models. Scoring repeats during delivery, not only at intake. Project scoring software makes the ranking comparable across the portfolio. Planisware adds efficient frontier optimisation, which we do not have.

Are projects linked to strategic goals?

Yes. Goals carry a baseline, a target and a current value, and they cascade from the organization down to the project. Approving a project can require a link to a goal, so nothing enters the portfolio without a reason. Strategy management software gives the board one screen with goals, measures and the projects behind them.

Budgets, risk and governance

Does FlexiProject cover project budgets the way Planisware does?

It covers the working part: cost and revenue categories, plan against actuals, monthly phasing, budget versions and accounting attributes on each line. Budget lines are tied to the tasks that generate them, so cash flow follows the plan. Hours reach the cost side through time tracking software in the same system. Capitalisation rules and multi-entity consolidation stay Planisware territory.

Is there a risk register comparable to risk management in Planisware?

Yes, built into every project. Each risk carries probability, impact, an owner and a response plan. Mitigation actions become scheduled tasks and exposure aggregates to portfolio level. The matrix is configurable, from 3×3 to your own dimensions. What our risk management module does not do is Monte Carlo simulation.

Does FlexiProject support stage-gate approvals?

Yes. Phases close with a Go or No-Go decision. The schedule baseline, the budget and the charter pass a defined path before they become binding. Decision makers are named as project roles, not as individuals. Approval workflow software keeps the full trail: who approved what, when and with which comment.

Rollout and configuration

How long does a FlexiProject rollout take?

Weeks rather than months. The system arrives configured for standard project work, so the first projects start while templates and approval paths are still being tuned. Every later change is made in the interface, so tuning never waits for a release. Company standards and good practice sit in knowledge base software next to the work they describe.

Can we configure FlexiProject without a consultant?

Yes. Fields, views, dashboards, templates, roles and approval paths are set in the interface. Each division keeps its own charters, templates and user list in a separate workspace software area, while head office defines the shared standard. In Planisware such changes usually go through a consultant or a trained superuser.

What do non-technical users see day to day in FlexiProject?

Their own task list, the project schedule and a board. Updating a task, logging progress and commenting work the way people expect from a web application. The Kanban board software runs on the same data as the Gantt chart, so a team member never opens the portfolio layer. Charters, scoring and budget versions stay with project managers.

Resources, deliverables and daily work

Does FlexiProject show resource workload and availability?

Yes. Workload is visible across the organization, on the Gantt chart and by organizational structure. Daily availability accounts for part-time contracts and time off. Assigning a task above someone capacity triggers a warning. Resource management software plans at team and department level; Planisware goes deeper at multi-thousand-resource scale.

Can FlexiProject track what a project has to deliver?

Yes. Products are a separate dimension of the plan, next to tasks: documentation, a prototype, new infrastructure. Each one carries acceptance criteria, an owner and a delivery date linked to the schedule. Templates can pre-fill them. The project products module lets a sponsor accept deliverables instead of reading task percentages.

Where do project updates and decisions live in FlexiProject?

Next to the plan. Comments sit on tasks, risks, budget lines and products, and mentions notify the right person. The project chat is archived together with the project. Nothing important ends up in a mail thread nobody can find. The project communication module keeps the decision and its context together.
