Project review templates

A review template defines the fields of the review card of each project: how they are arranged in sections and columns and which project data is shown in it. Any number of reviews can be created from one template (see Creating a review). Templates are in the main menu, under Reviews, on the Templates tab. The list has the Name column; click a name to open the template builder. The tab is visible to users with the global Reviews permission (see Users and permissions). Review templates are not assigned to workspaces: the same list is available across the organization.

Managing review templates

Adding a template

  1. Open Reviews in the main menu and the Templates tab.
  2. Click New template. The Add review template window opens.
  3. Enter the name (required) and click Add. An empty template opens in the builder (see Review template builder).

Renaming

The template menu in the builder (the menu icon next to the name) has the Edit option, which opens the Edit review template window and lets you change the name.

Cloning

The Clone option creates a new template with the same field layout. The Add review template window proposes the original name with a copy suffix, which you can change before saving.

Deleting

The Delete option deletes the template after confirmation (The deletion of a review template is irreversible. Are you sure you want to delete the template?). Reviews created from the template stay with their own copy of the fields, but they cannot be cloned while the template does not exist.

Review template builder

The builder works the same way as the project charter template builder: on the left the sheet with the template name and the organization logo, on the right the list of elements grouped in an accordion, which you insert by dragging. Element groups, sections and columns, element edit windows (the pencil) and removal (the trash icon) are described in Project charter templates.

Not all elements can be edited in a review, so it is worth choosing them with who fills in what in mind:

  • to be filled in within a review are: short and long text, date, number, choice lists, table, attachments, link, lists of tasks, milestones, risks, products and costs or revenue, and the Selected elements of the schedule, Selected elements of the budget, Selected risks and Selected products elements. Values are entered separately for each project in the review,
  • shown read-only are project data and calculated values: name, description, status, health, manager, roles, project attributes, dates and duration, baseline values and differences, budget, charts. They come from the project (in an archived review, from the moment of archiving).

Changes in the builder are saved at once, but reviews created earlier from the template do not change: each has its own copy of the fields from the moment of creation. Only reviews created or cloned after the change get the new layout (see Cloning a review).
