Integration with JIRA

Connecting FlexiProject to the organization’s Jira system allows Jira tasks to be integrated into the project schedule. In FlexiProject, you can customize the connection preferences for each project. This allows you to add Jira tasks from different projects and apply JQL filters to select only those tasks that are relevant. With this connection, you can track the progress of Jira tasks directly in the FlexiProject schedule. Mapping users assigned to tasks in Jira with users registered in FlexiProject enables you to optimize uptime and coordinate tasks across your organization, regardless of the platform.

Creating a link with Jira

Generating a connection key in Jira

  1. In jira, go to account settings.
  2. Open the “Security” tab
  3. In the API Token section, select Create API tokens and manage them
  4. Click Create API token. A window to enter a name will appear.
  5. Enter the name “FlexiProject”
  6. Click Create. The connection key has been generated.

Adding integration with Jira

  1. Go to system settings / Jira tab.
    The “Jira integration” tab with settings will appear.
  2. If the integration is disabled, turn it on with the switch located in the upper right corner.
  3. Enter your organization’s Jira server address . This is the URL you enter in your browser to get to the JIRA application. Example address: https://name.atlassian.net
  4. Enter the user’s Email and their Key generated in Jira.
  5. Click Save in the upper right corner. If the entered data is correct, you will see a notification “The connection to the Jira server is correct.” Thus, the connection to Jira is active. You can check the connection status at any time by clicking on Check Connection.

Mapping Jira task owners with FlexiProject users

FlexiProject constantly tries to automatically map users registered in Jira with users registered in FlexiProject by checking the compatibility of their email addresses.

If the Jira username is associated with an email address, the FlexiProject system will check if such an email exists in the FlexiProject user database. If such a link is found, the avatar and name of the associated user is displayed next to the Jira username.

It is possible to manually add links and import a list of Jira users with email addresses. Note that the automatic link, when it finds a user link, will overwrite the manual link by treating it as obsolete.

Adding a user association:

  1. Hover the mouse over the selected row with no associated user. A“...” button will appear on the right.
  2. Click this button. A menu will appear, from which you can select Bind.
  3. Click Bind. The User Affiliation window will be displayed.
  4. In the window, indicate with a click the user you want to associate with Jira Name and click Confirm. The link has been saved.

Removal of user association:

  1. Hover the mouse over the selected row with the associated user. A“...” button will appear on the right.
  2. Click this button. A menu will appear, from which you can select Disconnect.
  3. Click Disconnect and confirm the action by clicking Remove linkage. The link will be removed.

Jira user list import:

  1. Obtain a .csv file with a list of users. A Jira administrator can generate such a file by going to the administration panel(https://admin.atlassian.com/). In the “Users” tab, under the icon with three dots, there is a tool to export the list of users.
  2. Click the Import button. The Import Jira Users window will open.
  3. Point or drag and drop the .csv file with the list of users.
  4. Click +Add. The list of Jira users will be updated. The system will automatically complete it with the links found.

FlexiProject integration with Jira

Integration with Jira allows you to import tasks from a selected Jira project into a FlexiProject project. It is possible to add tasks from several Jira projects, and it is also possible to apply a JQL filter so that only relevant tasks from Jira can be added to the project.

Adding tasks from Jira projects

  1. In FlexiProject, go to the Schedule tab, which is located on the project tab bar.
  2. Click the Settings button and select Connect to Jira. The Jira Integration window will open
  3. Enter the key of the Jira project you want to link to FlexiProject, If you want to add tasks from more than one project, then enter their keys sequentially after the decimal point. Then click Connect. A window with a list of Jira task types will be displayed.
  4. Choose from the list how to download jobs:
    • Task types (available only when in point. 3 given one Jira project key)
      Choose at least one type of task. Then click Save.Import preserves the hierarchical structure of Jira tasks when master and subordinate task types in lower levels are selected. If you select tasks from a single level, any hierarchy will be ignored.
    • JQL filter
      In the text box, enter the JQL code of the job filter created in Jira.
  1. Click Save
    If the connection was successful, a success message will appear in the lower right corner, and tasks from Jira will appear in the project. After integration, a gray rhombus icon will appear next to the project name. Every project integrated with Jira is marked with such an icon. Clicking on it opens the integrated Jira project in a new tab.

Removing the connection to the Jira project:

  1. In FlexiProject, which is integrated with Jira, go to the Schedule tab, which is located on the project tab bar.
  2. Click the Settings button and select Connect to Jira. The Import from Jira window will open
  3. Click Delete-a message will appear.
  4. Remember that the removal is irreversible. If you are determined, then confirm your decision by clicking Delete. The project’s association with Jira will be removed. Jira tasks will disappear from the schedule.

Tasks from Jira on the project schedule

Downloaded to the project schedule, Jira tasks include parameters that are updated regularly:

  • Name of the task
  • Task description
  • Status
  • Owner
  • Type
  • Hierarchy of tasks

This is information that cannot be edited.

In the schedule, tasks originating from Jira are marked with a blue horn icon.

All Jira tasks are added at the end of the schedule with structure. It is possible to change the order of tasks in the parent task. Jira bulk tasks including their sub-tasks can be inserted into the schedule structure.
Three new columns are available in the schedule: Jira Id, Jira Status, Jira Type.

Clicking on Jira Id takes you to a new tab where you can see the details of the task in the Jira system.

The name of the task owner is indicated by the icon . If the owner of a Jira task is mapped with a FlexiProject user, then his avatar and name from FlexiProject are displayed.
