Project plan

Approval of a project plan is a vital part of project management that brings many advantages. Creating a project plan clarifies the project’s objectives and scope and assigns responsibilities and roles to each team member. An approved project plan is a reference point for tracking work progress and a basis for stakeholder communication, keeping everyone updated on the project’s progress and accomplishments.
Before moving forward, managers, sponsors, or other authorized individuals often require project plan approval. This approval is essential for the project’s support and resources.

Store project schedule baseline

From the Baseline tab or accepting the Project Card, the planned schedule values are saved. During the approval process, you can verify deferred or stored values, such as the scheduled item name, start date, and end date, in the Project’s Baseline tab.

In FlexiProject, you can see the saved values in these places:

  • In the Project’s Schedule tab:
    • On the schedule panel, under the Beeline
    • In the schedule list, when you show the columns for Baseline Start date, End date, and duration
    • On the Project’s timeline, if you toggle Baseline in Settings
  • In the Project Portfolios tab:
    • In the Project’s portfolio, in the Projects tab, when you show the column for Baseline end date
    • In the Schedule tab of the Project’s portfolio, if you check the Baseline Plan in Settings
  • In the Reports tab:
    • In a Project report that matches the Project, when you show the columns for Baseline Start, End, and Duration
    • In a Tasks report that matches the project tasks with saved schedule values, when you show the columns for Baseline Start, End, and duration
    • In a Milestones report that matches the project milestones with saved schedule values, when you show the column for Baseline End
    • In a Plan report that matches the project plan with saved schedule values, when you show the column for Baseline End of Project

If you save the schedule plan again, it matches the current schedule. You can find the old schedule plan version on the Project Baseline tab.

Store project budget baseline

The planned budget values are stored when you check the Budget checkbox while changing the plan from the Plan tab or accepting the Project Card. During project plan acceptance, you can verify values like the budget item name, date, and amount. You can see these stored values in FlexiProject:

  • On the project’s Budget tab:
    • On the budget element panel, in the Plan section
    • In the budget list, after showing the columns Plan, Deviation
    • On the budget timeline, when the Difference option in the Settings section is toggled
  • Under the Project Portfolios tab:
    • In the portfolio that the project belongs to, on the Projects tab, when the column: Planned Budget is displayed
    • On the Budget tab of the portfolio that the project belongs to, after showing the columns Plan, Difference
  • Under the Reports tab:
    • In a report from the Projects category that matches the project values, after showing the columns Budget plan, Budget difference
    • In a report from the Budget category that matches the values of budget items belonging to the project with deferred, planned budget values, after showing the columns Plan, Deviation
    • In a report from the Plan category that matches the values of the deferred project plan with deferred planned budget values, when the column: Project budget is displayed

If you save the planned budget values again, they will match the current ones.

Project baseline charter acceptance

Acceptance approves the project charter plan. During acceptance, all values entered in the project card are stored. The stored values depend on the project card template. Historically stored project cards can be found under the Project Card tab on the project.

Change project baseline

  1. Go to the Baseline tab in the project.
  2. Once the Baseline tab is open, click the Add button.
    A new baseline window will open.
  3. Enter the name of the new baseline.
  4. Check or uncheck the boxes next to the data that the baseline change affects: Schedule or Budget.
  5. Optionally, you can enter a comment, add attachments, and fill in the Description and Change Plan Explanation, Project Scope Change Description, and Available Alternatives.
  6. Confirm the data you’ve entered by clicking the Save and Close button.

Project baseline amendment acceptance

Accepting the Baseline Without an Acceptance Path

  1. Go to the project baseline tab
  2. Open the selected project baseline window
  3. In the baseline window, click the Acceptance button
  4. The Acceptance window will open with an option to choose the Acceptance Path.
  5. Acceptance Path value s by default set to empty. Leave that option unchanged.
  6. Click the Approve Baseline button. A confirmation window will open.
  7.  Confirm the change. The baseline is now approved, and its status has been changed to approved.

Sending the Baseline for Approval

  1. Go to the project baseline tab.
  2. Open the selected project baseline window.
  3. In the baseline window, click the Acceptance button.
  4. The Acceptance window will open with an option to select the Acceptance Path.
  5. From the drop-down list, select the desired acceptance path.
  6. Click the Send for Acceptance button.
  7. The plan is now sent for acceptance. Level 1 users will receive email notifications informing them of the required acceptance. The status of the plan has been changed to in progress.

Accepting the Baseline According to the Acceptance Path

  1. In the project, go to the Plan tab, open the selected baseline window, and go to the Acceptance view or use the redirect link in the email. The Baseline Change window will be displayed, and the Acceptance view will be active. The status of the baseline change is In Progress.
  2. In the My Acceptance field, enter a description and click one of the options: Accept, Needs Work, or Reject. A confirmation window will open.
  3. Click the Confirm button.
  4. The acceptance is now stored.
