2026.02
We are pleased to present the latest release of FlexiProject 2026.02, which introduces a number of improvements aimed at increasing control, transparency, and efficiency in the work of project teams. The new version of the system introduces, among other things, Workspaces, an extended organizational structure, improvements in resource management, and functionalities that make it easier to monitor schedules and budgets.
Thanks to these changes, users can better organize projects, filter and analyze data, and work in the system in a more personalized way that reflects the actual structure of the company. We have also introduced new data import and export options, and the mobile application allows projects to be tracked while working in the field.
Below is a detailed overview of all new features in version 2026.02 👇
Workspaces
One of the key new features is the introduction of Workspaces. These are logical areas in the system to which users, projects, and selected configuration elements are assigned.
Configuration and usage
Workspaces are defined in the system settings. They most often correspond to:
- organizational departments (e.g. production, marketing, sales),
- companies within capital groups,
- separated functional areas (e.g. strategic initiatives vs. operational projects).

Permissions and visibility
Each user can be assigned to one or more Workspaces. This directly affects project visibility and the ability to perform operations in the system. User permissions (viewer, creator, administrator) apply only within assigned Workspaces. This means, among other things, that:
- a user sees only projects belonging to their Workspace,
- they can create new projects only within those Workspaces,
- they do not have access to data from other departments unless they are assigned to them.

Projects, templates, and documents
Workspaces permeate all key system elements:
- projects – each project must be assigned to at least one Workspace (assignment to multiple Workspaces is possible),
- project templates – can be available only to selected Workspaces,
- Project Cards – it is possible to create cards dedicated to specific Workspaces,
- approval workflows – available only within assigned Workspaces.


Thanks to this, organizations can precisely control which templates, documents, and processes are available to individual teams.
Workspaces can also be used to filter data on the project list and in reports.
Organizational structure
Another major change is the ability to build an organizational structure within the system. The organizational structure is based on manager–subordinate relationships and has a tree structure. It allows for:
- defining departments and teams,
- assigning managers,
- building a multi-level hierarchy.
A user can belong to only one department within the organizational structure.


In organizations using integration with Microsoft Active Directory / Entra ID, the organizational structure can be automatically imported or built based on existing user relationships.
The organizational structure directly affects access to:
- working time – the ability to view one’s own time and the time of subordinates,
- resources – managers see allocations only within their own department.
This makes data control more precise and aligned with the actual company structure.

User list export
The new system version introduces the ability to export the user list. The export includes, among others:
- information about assigned licenses,
- last login date,
- department assigned to the user.
This is a simple but very practical improvement, especially useful during license audits or access reviews.

Resource management redesign
The update brings a significant redesign of the Resources module, closely integrated with the organizational structure.
If an organizational structure exists in the system, schedule elements will also display department information. When assigning a task owner:
- the user’s department is filled in automatically,
- removing the user clears the department (and vice versa).

It is also possible to:
- assign tasks to a department without indicating a specific person,
- plan workload at the team level.

New views have been added that allow workload analysis in a hierarchical layout, e.g.:
- department → project → employee,
- department → employee → project.
Data can be presented:
- daily, weekly, or monthly,
- in hours, man-days, percentages, or the number of tasks.
It is also possible to retrieve historical data.

Project attribute of the “Function” type
Another new feature in the latest FlexiProject release is project attributes of the “function” type.
These are non-editable fields whose value is automatically calculated as the result of mathematical operations performed on other project data, such as:
- number and date attributes,
- dates from the schedule,
- budget values,
- data from baselines.
Example use cases
“Function” type attributes allow automatic calculation of key project indicators, for example:
- the number of days from the project start to reaching a specific milestone,
- an area calculated as the product of length and width,
- VAT value calculated based on monetary amounts.

If the source data changes (e.g. task dates are shifted in the schedule), the values of “function” attributes are recalculated automatically, ensuring data consistency across the entire system.
Like other project attributes, “function” attributes can be used for:
- filtering and presenting data in reports,
- analyses in project portfolios and project reviews,
- displaying information on Project Cards.
Importing a budget into an existing project
A new option, Import, has been added to the Project Budget tab. The budget can be imported both from a project template and from an Excel file.
When importing from Excel, after uploading the file, a data-mapping window is displayed, similar to the one used for schedule import. From this window, it is also possible to download an Excel template for import.

Using an Excel file, the following information can be imported:
- budget item name,
- date,
- expense type,
- cost center,
- Capex/Opex classification,
- document number,
- supplier,
- item description.

After a successful budget import—regardless of whether it comes from Excel or a template—the imported items are added at the end of the existing budget.
Schedule variance from the baseline
A new functionality allows ongoing tracking of differences between the current schedule and the baseline.

Variances are presented in days for:
- task start date,
- task end date,
- task duration.

This makes it easy to identify delays or accelerations in the execution of individual project tasks.
Extended import from MS Project
The import from Microsoft Project files now includes an option to preserve dates from Microsoft Project in FlexiProject. When dates are preserved, fixed relationships between tasks are created in the schedule so that the dates from the file remain unchanged. For inactive tasks in MS Project, the import of owner, relationships, and dates is ignored.
This ensures full schedule consistency between MS Project and FlexiProject.

Project card and reviews - variance from the baseline
In Project Card and review templates, it is now possible to display schedule and budget variances compared to the first baseline. Previously, this functionality was available only in portfolios and reports.

Additionally, task and milestone filters now include the option to display only elements that deviate from the baseline. This makes it easier to quickly locate tasks that require attention.

Project card - tasks component: start column
A Start column has been added to the list of available columns in the tasks component, complementing existing options such as:
- WBS,
- task name,
- planned end date,
- end date.

Selecting multiple elements on the project card / reviews
In the Selected elements sections (schedule, budget, risks, products), it is now possible to select multiple elements at once—for example, an entire project phase—which significantly speeds up data entry on Project Cards and in reviews.

Schedule template
Schedule templates have been extended with functionalities that were previously available only at the project level:
- Row coloring – colors from the template are transferred to the project,
- Cloning entire schedule structures with subtasks,
- Converting a task into a milestone and a milestone into a task.
This makes creating and modifying schedules even more flexible and visually clear.

API documentation

The site includes:
- full API documentation,
- an API changelog,
- answers to frequently asked questions.

Mobile application
The FlexiProject mobile application is now available in the Google Play Store:

It allows users to:
- browse the task list,
- mark tasks as completed,
- add comments and attachments to assigned tasks.
With the mobile application, projects can also be managed in the field without needing a computer.
