Project resources

The reconstruction of the Project Resources module is a significant part of the latest release. The new functionality allows administrators to add public holidays for the entire organization and manage the availability of individual users within the organization. A major change is the default resource availability: Monday – Friday, 8 hours per day. Previously, resource availability was entered manually, which was time-consuming and problematic. From the Resources tab, it will be possible to track the workload of individual employees and verify which projects contribute to the workload. The system settings will allow for easy deactivation of the Resources module if the organization decides not to use this functionality.

Resources in projects and workload

With the redesign of the Resources functionality, changes have also been made to project mechanisms. From now on, resources will be linked to the schedule, meaning that changes to task dates will adjust the allocation of the user assigned to the task. As a result, a new field—Workload—has been added to the schedule. This allows defining the number of hours a resource is needed to complete a task. The Gantt chart will provide an overview of the project schedule and the workload of individual users. In the “Resources” tab, users can view which tasks and how many hours each participant is assigned to within the project.

Project fields

The previous Project Categories have been expanded and transformed into the functionality of project fields, allowing any properties (numerical, textual, calendar-based, dropdown lists, and multi-select lists) to be assigned to projects. These fields can be completed in the project settings, reported on, and displayed in project portfolios.

Project portfolios – budget tab

Project portfolios have been enhanced with a new “Budget” tab, which allows displaying financial values for individual projects. The tab includes a summary row, making the financial overview for the portfolio more visible.

Creating new projects from the portfolio level

With the new release, users with project creation permissions will be able to add new projects directly from the portfolio level. As with adding projects from the “Projects” tab, three options will be available: adding an empty project, a project from a template, or importing from Excel or MS Project.

Email notifications for start and end dates

Significant changes have been made to email notifications about end dates. First, in addition to the end date, users can now enable email notifications about task start dates. Second, notifications will no longer be sent individually for each task but aggregated into a single email sent once a day in the morning. Third, each user can define in their notification settings how many days in advance they want to receive reminders about task deadlines.

Changing the status of summary tasks on the schedule

The project schedule functionality has been extended to allow the status of summary tasks to be changed. Previously, this status was non-editable and derived from subtasks. While it will still depend on subtasks, changing the status of a summary task will now allow marking or unmarking all subtasks, enabling a single-click change to “Completed.”

Relocating project templates and adding avatars

Project templates have been relocated in the application and will now be available as an additional tab in the “Projects” section. With this change, permissions have also been updated. All users with administrator rights for the “Projects” tab will have access to templates. Additionally, templates have been enriched with avatars, allowing users to quickly identify the desired template when creating new projects.

Expanding reports for project plans

The project plans and changes report has been enhanced with the ability to display plans with statuses other than “approved.” This allows viewing all plans currently undergoing approval. Additionally, plans in the report are now linked, enabling users to click on a name and be redirected directly to the selected plan.

Enhancing task and milestone reports with custom columns

In the new version, reports for schedule tasks and milestones with assigned schedule fields can be created. These can be defined by system administrators and later added to schedules by project managers. The new functionality allows filtering report elements by selected values and displaying them in the report.

Attachment icon

In task lists, schedules, and budgets, an attachment icon has been added for all elements that include attachments, making it easier to locate these items quickly.
