What should a construction schedule template include?

A good construction schedule template contains six elements. First, a work breakdown structure (WBS): phases of the build divided into work packages and individual tasks, with numbering that keeps the hierarchy in order. Second, start and end dates plus durations counted in working days. Third, owners: the person, crew or subcontractor responsible for each work item, because a row without an addressee is just a row.

Fourth, dependencies between works: which predecessor conditions the start of a task and with what relation type, along with any lag. Fifth, project milestones, meaning zero-duration events that mark the control points of the investment. Sixth, progress, which turns the schedule from a planning document into a tool for running the build. In our template each of these elements has its own column, and stages roll up dates and progress automatically from their component tasks.

How to fill in the template, step by step

Step 1: work structure. Start with the phases in the WBS column (1, 2, 3…), then lay out work packages (1.1, 1.2) and tasks (1.1.1, 1.1.2). The template supports three levels, and the parent rows calculate dates and progress on their own; you only enter them for the lowest-level tasks.

Step 2: dates and durations. For each task enter the start and end date; the duration in working days is calculated automatically. Plan in sequences: foundations before the structure, underfloor services before the floor slab, inspections after commissioning.

Step 3: owners. Assign contractors to the works: the design office, the general contractor, trade crews, the investor for administrative decisions. On a build with subcontractors it is better to enter companies rather than individuals.

Step 4: dependencies. In the Predecessor column enter the WBS number of the preceding task, and in the Relation column the relation type: FS (finish-to-start), SS (a shared start, for example electrical and plumbing installations on the same floor), FF (a shared finish), plus a lag where the technology requires one, such as FS+14 for concrete curing between pouring the foundations and erecting the steel structure. In Excel these columns document the logic of the plan; keeping it intact when dates change remains the author’s job, which we return to in the last section.

Step 5: milestones and updates. Enter key events, such as the building permit or handover, with the same start and end date; the template marks them on the timeline with a separate symbol. Once the build starts, update the progress column in a steady rhythm, for example weekly, so the schedule reflects the actual state.

Example: the schedule of a production and warehouse facility

The example sheet walks through the full cycle of an industrial investment. The preparation phase covers geotechnical surveys, design from concept to trade designs, the environmental decision, the building permit proceedings and the general contractor tender, closed by two milestones: the permit and the signed contract. Only they release the start of site mobilization, which is visible directly in the dependency column.

From there the schedule moves through earthworks, foundations with a technological break for concrete curing, steel structure erection, the roof and the envelope, services run in parallel, finishing with an industrial floor slab after the underfloor networks, and external works, all the way to commissioning, authority inspections and the occupancy permit. The progress snapshot shows a project mid-execution: preparation and foundations complete, the structure under way, the whole at 43%. When an Excel template stops being enough

Honestly: a spreadsheet has limits, and it is worth knowing them before the build starts rather than during it. The biggest one is this: in Excel, dependencies between works are a description, not a mechanism. When the permit arrives three weeks late, none of the forty dates downstream recalculates itself; the file’s author has to move them by hand and check what was missed. Add to that the lack of a baseline, so after a few changes nobody knows how far the plan has drifted from the approved assumptions, no critical path pointing to the works that genuinely decide the deadline, and no view of crew load when the company runs more than one build. For a single, stable investment the template is enough, and that is its proper use.
